Job Summary:
The Project Support Officer plays a crucial role in assisting and coordinating various aspects of project management to ensure successful project delivery. This position involves providing administrative support, organizing project-related activities, monitoring project progress, and facilitating effective communication among project stakeholders.
The Project Support Officer works closely with project managers and team members to ensure projects are delivered on time, within budget, and meet the defined objectives.
The role also supports the Invitation to Tender (ITT), Request for Proposal (RFP), and bidding processes by coordinating tender documentation, tracking bid submissions, liaising with relevant departments, maintaining bid registers, ensuring compliance with tender requirements, and assisting in the preparation and submission of competitive proposals.
Responsibilities:
- Coordinate project activities, schedules, and timelines.
- Maintain and organize all project documentation and records.
- Facilitate effective communication among team members and stakeholders.
- Support efficient allocation of project resources.
- Identify potential risks and assist in mitigation planning.
- Monitor project budgets and track expenditures.
- Prepare and present regular project progress reports.
- Support quality assurance to ensure standards are met.
- Engage stakeholders to gather feedback and address concerns.
- Coordinate meetings, including agendas, materials, and minutes.
- Assist in managing project changes and assessing impacts.
- Document lessons learned to improve future projects.
- Support tendering and bidding processes, including ITT, RFP, and RFQ preparation, submission, and compliance tracking.
Requirements:
- Bachelor’s degree in a relevant field (e.g., Business Administration, Project Management Engineering, or a related field. Relevant professional certifications will be an added advantage.)
- Minimum of 2–5 years of experience in project support, project coordination, administration, tendering, bidding, or a related role.
- Demonstrated experience in preparing and managing Invitation to Tender (ITT), Request for Proposal (RFP), Request for Quotation (RFQ), bid submissions, and contract documentation.
- Excellent organizational and time management skills to handle multiple projects simultaneously.
- Strong attention to detail and problem-solving abilities.
- Effective communication and interpersonal skills to collaborate with diverse stakeholders.
- Proficiency in project management tools and software (e.g., Microsoft Project, Excel, or similar).
- Knowledge of tender management, bid evaluation, project management methodologies and best practices.
- Ability to work independently and as part of a team.
- Adaptability and flexibility to handle changing project requirements.
